How does it all work?

We run 4 student residences in the best – central – locations in Munich. We only let rooms as part of education or training. Especially for interns, diploma students and trainee teachers… That means we also try to help with short-notice demand. Because: On the open housing market it is difficult to find a fixed-term tenancy for just a few months. And hotels are usually too expensive.

This is how it works…

The reservation:

The reservation itself is relatively simple. 80 days before the desired move-in date, rooms and apartments can be reserved online. Why only 80 days in advance? Quite simply so that current tenants have more flexibility. Until 80 days before the end of their tenancy, existing tenants can fairly easily extend their contract or move out early.

How are rooms allocated?

Whoever reserves a room first gets the room. That means: On some nights the rush starts one minute after midnight. The “best” rooms and apartments are of course gone first. So in the end it is often a kind of lottery. Because some rooms are reserved without obligation, and tenants cancel at short notice again and again, there is a lot of movement in the system. It is therefore worth checking regularly whether a room or apartment has become free after all.

There are 2 types of reservation.

  • The non-binding reservation
    You can even reserve our rooms without obligation. Until 50 days before move-in it costs €25 for 10 days, 50–41 days before move-in €20 for 5 days, until 20 days before move-in 3 days cost €20, and until 10 days before move-in 2 days cost €25. The room/apartment is then reserved for you. (Visible as the orange MAYBE in the list). So that nobody else can take the room, the computer checks whether the telephone number was entered exactly as for the first reservation. Your telephone number is, so to speak, the key!
    No further costs arise in any case. You thereby secure a particular room or apartment for a particular time. If you do not make a binding reservation within that time, the reservation is simply dropped. That’s it… no further costs!
  • The binding reservation
    With the binding reservation a tenancy agreement is concluded. The reservation is also binding under distance-selling law, among other reasons because accommodation is provided at a specific time. A binding reservation costs a €250 reservation fee. This is charged when you reserve. No further costs arise at the time of reservation. Please note, however, that under the tenancy agreement you must pay a deposit on move-in (which you get back at the end of the tenancy as usual for deposits), and during your tenancy rent is payable monthly no later than the 3rd of each month. If you are not sure whether you want to rent, do not make a binding reservation! If applicable we will offer you a non-binding reservation as an option.
How do I turn a non-binding reservation into a binding reservation?
When you reserve without obligation you must enter a telephone number. This telephone number is the key for the binding reservation.
Concretely: Simply click again on the apartment you reserved without obligation and reserve it once more with EXACTLY the same telephone number. Caution: Spaces and special characters are compared as well. 089 30623-0 is something different from (089) 895 209 00. If the telephone number entered matches, the system accepts the booking. Otherwise you get the error message that someone else has already reserved the apartment.

Move-in:

If you already have an internet reservation or a tenancy agreement, call the caretakers 1–2 days before the move-in date (usually the 1st of a month) on 0049 89 30623-1111 and arrange a handover appointment. Further telephone numbers are on the tenancy agreement or in your reservation confirmation if applicable. Moving in before the 1st of a month is usually not possible. If needed you must arrange with the previous tenant yourself when they move out – and even then it only works if the room does not have to be renovated.

What do I need to bring?

Hygiene items, in particular a duvet and bed linen, towels and crockery and cutlery you must bring yourself. Also do not forget toilet paper, soap etc. for the first day.
Rooms are furnished with a 90x200 cm bed (or occasionally a 140x200 cm sofa bed) with mattress, chair, table, wardrobe, lighting, fridge with a small freezer compartment. Internet via LAN means you must bring an Ethernet cable.
Rooms also have curtains or comparable privacy (e.g. a roller blind)

Handover:
The room is handed over ONLY WHEN THE DEPOSIT HAS BEEN PAID. If you want to transfer the deposit, make sure you bring a stamped receipt from your bank, because it can take up to 2 weeks until our accounts department sees the incoming payment. Alternatively you can bring the deposit in CASH; you then receive a receipt which you must keep. If not already sent by fax or email (e.g. for an internet reservation), you must also present your student ID and training contract (internship contract). Once the formalities are settled, you receive the keys.

In case of defects:
If the room has defects, you must report them as quickly as possible for your own protection. Rule of thumb: In the first 14 days credibility that the defect was already there is of course highest. Claiming one week before move-out that the pane of glass had always been broken… that will not go well. The following principle applies: Normal wear, i.e. a mark on the wall, a scratch on the floor… all of that does not have to be reported. It is already included in the flat rate. For your protection you should report it if you notice, for example, that the pane has a crack, or a shelf board is broken out… anything that looks like force rather than wear. You can of course also report anything that needs repairing. For example if the fridge is broken, or a light bulb is defective.

The condition of rooms on move-in:
We try, in the days before the move-in date, to inspect the rooms and carry out necessary renovation work. The rule is: Not every move-out is followed by renovation and painting – that would make no sense, because tenants often stay only for a few months of internship. Besides, it would not be affordable. So we try to hand over a room/apartment so that it has no significant defects and you need not have a bad conscience. Depending on how your previous tenant treated the room/apartment, there can also (very rarely) be a “worst-case”, and we do not manage to renovate the room. In that case we try to find a solution together with you. Usually by swapping, so that you can move into another, decent room.

About internet and television

TV: Munich has switched to DVB-T, i.e. an old TV set stays dark. Because virtually every student watches TV via internet and laptop – that no longer matters. Internet: Every room has internet – see the extensive instructions (Caution: bring a LAN cable or your own WLAN router if needed. In inner-city locations it is extremely hard to set up good WLAN; not every room has good WLAN reception)

Internet:
All tenants have internet automatically. You do not need to register. Logging on and off is not necessary. Access works from 1 day before move-in until 3 days after your move-out.

What to observe when using it:
Houses differ somewhat in technical equipment; as a rule, however, the following “principles” apply:

In all houses internet is available via Local Area Network or Wireless LAN. The internet is monitored 24 hours a day and reacts very badly to filesharing and other mostly illegal use – in order to offer you and the reasonable users ample quality.
Because WLAN reception quality is not equally good in every room, we have laid Ethernet cables in many cases – visible at reservation as LAN instead of WLAN. In that case you should bring a USB Ethernet adapter or your own router – if your PC no longer has a LAN port. Many students take the cheap TP-Link devices (e.g. TL-WR940N https://www.mediamarkt.de/de/product/_tp-link-tl-wr940n-wlan-2217400.html for about €23). We use more professional Mikrotik devices.
Look for 5 GHz WLAN or combo devices with 2 and 5 GHz – because the 2 GHz frequencies are overloaded in the inner city. But: With luck you may also get internet from us via WLAN in addition to the cable – we cannot, however, guarantee the quality of the radio connection and you should bring an Ethernet cable.

Internet via WIFI/WLAN:
We now have almost everywhere roaming-capable access points that transmit in the 2.4 GHz band (slower but better range) and in the 5 GHz band (faster but shorter range). They broadcast two SSIDs. Namely STUDENT....FREE (unencrypted) and STUDENT.... as the encrypted version, which is a little more complicated to set up. (Password: akademiker). Use is very simple: You connect via WLAN to our access points or plug a network cable (CAT5) into the network socket of your apartment. Then go to any website (e.g. www.google.de) and you will see our login page. There you enter your VPN number (e.g. VPN1234) and your password (e.g. 1234) – and click SEND. Depending on browser settings you then either get an error message (because your browser notices that we want to redirect) or you get a page saying that you are now on the internet. From then on you can use the internet without restriction. If you entered wrong credentials, our login page appears again. NOTE: Use the detailed internet instructions Info here.

Internet by cable

In Gabelsberger Strasse, Clemensstr. 118 and Emanuelstrasse, internet access is via LAN cable. Caution: These are 8-core cables. A normal Ethernet adapter – which every PC usually has as standard – is sufficient.
In that case you should bring a USB Ethernet adapter or your own router – if your PC no longer has a LAN port. Many students take the cheap TP-Link devices (about €30). We use Mikrotik devices (more complicated but more professional – also from about €30).

Anyone with LAN by cable should use PPPoE. In particular all modern routers can do PPPoE – follow the SETUP page of your router and look for PPPoE – that is professional and extremely stable.

Sometimes these apartments also have additional WLAN. We operate it but do not support it. In particular, reception quality is not guaranteed in the rooms mentioned above. Because: cable is always better than radio.

Waste
In Munich, waste is collected separately. Please separate it correctly.
- Cardboard at move-in and move-out is taken to the city’s containers
- Paper in small amounts can be emptied into the BLUE paper bins.
- Glass is taken to the city’s containers.
- Organic waste (salad, fruit) NO MEAT! Is disposed of in the brown organic bins.
- RESIDUAL WASTE (no bottles, no paper) is disposed of in the expensive grey/black bins.

The technology:
In Clemensstr. 118 and Gabelsbergerstr. a bus system is in use.
The bus system is really first of all just a light switch.
You can also control the temperature with it. Fire alarm is sent to everyone via the bus. The temperature sensor detects fire… automatically.
During absence it switches to an eco mode – lowering the temperature and switching off unnecessary power consumers.
What does the thing actually do?

Visitors: Overnight visitors must be registered! The easiest and most uncomplicated way is via the website. No questions… just register!

In addition the house rules apply

Termination:

Termination must be by recorded-delivery letter or via the internet. Your rent must continue to be paid despite termination. It cannot therefore be offset against the deposit – with reminders at €15 each this also becomes an expensive matter! If you want to end the tenancy early, bear in mind: Until 80 days before the end of your tenancy, termination is usually straightforward.
You can often be released from the tenancy quickly because our system puts the room online IMMEDIATELY.
But caution:
Termination only works if your room has not yet been re-let, i.e. in any case until 81 days before your regular end of tenancy. We always accept terminations with a notice period of 3 months. If your room is already let, call us. In many cases we can still find a solution by SWAPPING a room. Subletting is absolutely not permitted!
Termination means for us in practice that we need staff to carry out the handover and to renovate the room if necessary and clean it afterwards etc. Therefore we cannot always guarantee terminations with a shorter period than 3 months at short notice. Especially around public holidays (e.g. 31 Dec.) it only works if you move out early enough that we have enough time to carry out the necessary work – if in doubt talk to us – we try to find a reasonable solution.

Extension:

If you want to extend your tenancy, the above applies analogously. In the period from 90 days before the end of your tenancy until 81 days before the end of your tenancy, an extension is usually possible if your rent has been paid and you still meet the admission requirements. All of this happens ONLINE via our system. If the room is already let because you ask for an extension too late (80-day deadline), call us. Here too we often still have options because we can sometimes still swap rooms or apartments.
Please note, however, that our concept is meant to cover short-notice demand, especially for interns. In order not to bring the rotation principle to a complete halt, extensions are usually only offered on more expensive terms. This applies in particular to the 2nd and further extensions.
Hence our tip:
If the tenancy still has 82 days or more to run you can terminate your room/apartment without difficulty. It is put on the internet for the date you want and as soon as a successor is found you are released from the tenancy. Experience shows that residence places except around Christmas (15 December–15 January) are re-let within a few days. In our experience it is therefore better to make a longer tenancy and terminate if needed – than a shorter contract and then extend.

On move-out:

When you move out, clean your room THOROUGHLY so that money is not deducted from the deposit unnecessarily. We look particularly closely at the washbasins with tiled splashback and mirrored cabinets and, where present, the kitchen. But the floor including the skirting boards must also be clean. Wash your bed or sofa cover. At 30 degrees delicates (in the launderette because of the large drums) this is a simple matter. If you already have the new Grosanna bed systems, you can also wash your cover in a normal washing machine. Then however make sure you separate the cover and wash it in 2 halves – otherwise the cover will stain. It then looks as if it had urine stains because the covers are unbleached under Öko-Tex. With every wash using white detergent they bleach a little – but only where enough detergent reaches. If you omit this, we send the cover for cleaning, which costs €20.

Deposit statement: We need about 5–6 weeks for the deposit statement. You then receive your money by transfer or a cheque, and a deposit statement by post or nowadays by email. You can speed up the process a little if you complete the move-in protocol and the move-out protocol yourself via the internet. Your electricity charges for the last month (where they can be calculated) are deducted from the deposit. That speeds up settlement, because we do not have to wait until you have transferred.

If something does not work as it should
We want you to be satisfied. If you are not satisfied with something – tell us. Only then can we maintain quality in the long term. How best to tell us?

- Technical problems with the internet: Call the internal telephone number 9999 (without a leading 0). This number is normally reachable from 8 a.m. to 10 p.m., because it is if necessary forwarded to the mobile phone.
- Urgent technical problems with water, electricity, heating etc.:
You reach our caretaker on 0049-89-30623-1111.
- Smaller problems can be recorded in complaints management online.
- If you are not satisfied with invoices or staff, or otherwise want to clarify something with the administration, please call 089-30623-0 on Mondays, Wednesdays or Fridays between 9:30 and 11:00. In particularly urgent cases this number is also staffed day and night – because it can be forwarded to mobile phones. But: This is only intended for particularly urgent cases.
